Media Space
Media Space is the storage of your account for the files you upload to your titles: cover images, illustrations, sample chapters, author photos. The top bar shows how full it is, and the same menu is where the account owner buys extra space or opens the Media Space application to manage the files. ONIXEDIT Cloud checks the remaining space before an upload so that a save never fails silently.
Where to find it
- The Media Space icon (a photo library) sits in the top bar, left of the Settings gear, on the hosted platform for accounts that have a media allowance. Every user of such an account sees it; the entries inside depend on your role.
- The same figures are repeated in My Subscription for the owner of a Cloud account.
- On an On-Premises installation there is no Media Space icon: files are stored on your own server.

The owner is the person who registered the account. The account type is decided by the server; if it cannot be read, the optional entries are hidden rather than offered by mistake.
Screen overview
The menu opens with the usage line — for example 500 MB of 1000 GB used — the percentage and a gauge. Sizes are shown in MB up to 999 MB and in GB from 1000 MB (decimal, so an allowance of 1000000 MB reads 1000 GB). The icon and the gauge turn amber above 75 % used and red at 95 % and above. The figures are refreshed each time the menu opens and after every upload.
Below the gauge come the entries you are allowed to use, Buy extra media space and Manage media space, or the note explaining who to contact instead.
How to buy extra media space
- Open the Media Space menu and click Buy extra media space (Cloud owner only).
- A new tab opens on the ONIXEDIT Cloud purchase page of onixedit.com, already signed in; choose the extra space and complete the order. If the automatic sign-in is not available, the website asks you to sign in first, then lands on the same page.
- Back in ONIXEDIT Cloud, open the menu again: the new allowance is read from the server.
Server Edition owners buy through ONIXEDIT: the menu shows Contact ONIXEDIT to purchase additional media space for your account.
How to manage the files
- Open the Media Space menu and click Manage media space (owner of a Cloud or Server Edition account).
- The Media Space application opens in a new tab, already signed in. It lists your titles and their files with their size and date, lets you delete single files or whole selections, and offers a search for orphan files that no title references any more. - Deleting files there frees space at once; the gauge updates the next time the menu opens.
What counts against the quota
- Every file uploaded from your computer in the entry form or with Import Media Files, at its size on disk.
- A media file added from a URL costs nothing: only the link is stored in the ONIX.
- Duplicating a title reuses the files of the original rather than copying them.
- Deleting a title does not delete its files: the files may have been transmitted to partners who still fetch them. Remove them from the Media Space application when you are sure.
What happens when the space is full
ONIXEDIT Cloud checks the space twice, against the figures returned by the server (it never computes them itself):
- When you pick a file in the entry form. If the remaining space is gone, the dialog Not enough media space says Your media space is full. Buy extra space or free some up, then try again. If the file is merely too big for what is left, the message gives both sizes: This file needs 20 MB but only 5 MB is left in your media space. The file is not added. The dialog offers the same Buy extra media space and Manage media space buttons as the menu when you may use them, or the note otherwise.
- When you save. The files still to upload are drawn one by one from the remaining space, so a batch that only overruns as a whole is caught too. A file that does not fit is skipped with the reason You do not have enough free space in your media space to copy this file., and the dialog Some files were not uploaded lists the skipped files after the save. The title itself is saved. The skipped files stay attached to the title in your browser session: free some space and save again to upload them.
If the figures cannot be read (network failure, server update), ONIXEDIT Cloud lets the upload through and leaves the decision to the server, which enforces the real limit. A failed lookup therefore never blocks a save that would have succeeded, and never paints the icon red.
Tips
Watch the colour
Amber means more than three quarters used: plan a clean-up or an extension before a large batch of covers. Red means less than 5 % left: the next big file will be refused.
Space is shared by the whole account
All catalogues and all users draw on the same allowance. A sub-user who runs out of space must ask the owner to free or buy space.
