Reports and error lists

ONIXEDIT Cloud produces documents about your titles on the server: a report laid out according to one of the report models configured for your catalogue, and an error list that gathers the validation errors of the titles. Both apply to the titles you selected, to the results of the current search, or to the whole catalogue, and the resulting file is downloaded from the Notifications menu of the top bar.

Where to find it

Both actions are in the Actions list of the title list toolbar, for ONIX 2.1 and ONIX 3.0 catalogues alike: Generate report for selected products and Generate error list for selected products. No catalogue right is required — any user who can open the catalogue can run them.

The Generate a report dialog holds the report model to use and two optional filters under Metadata Filters. Preview and OK stay disabled until a report is chosen.

How to generate a report

  1. Select the catalogue in the top bar and choose the titles: check them, run a search, or clear every search to cover the whole catalogue.
  2. Open Actions and choose Generate report for selected products. A Confirmation dialog names the scope:
    • with a selection: "Do you really want to generate report from all the selected products:" followed by the number of titles;
    • with a search and no selection: "There is no product selected. Do you want to include the first … products from this search in the report?";
    • with neither: "There is no product selected. Do you want to include the first … products of this catalogue in the report?". When the list is empty, a No products message ("No products selected or found") appears instead.
  3. Click Yes. The Generate a report dialog opens.
  4. In Choose report:, pick a report model. The first one is preselected.
  5. Optionally narrow the metadata with Supplier name: and Currency: (see Report options).
  6. Click OK. A Generate report task appears in the Notifications menu; when it is completed, click the file name to download the report.

How to preview a report

In the Generate a report dialog, click Preview instead of OK. The report is generated for the same titles and opens in a new browser tab. Allow pop-ups for ONIXEDIT Cloud if the tab does not open. Preview is the quickest way to try a report model or a filter before producing the file.

Supplier name:The supplier names found in the titles in scope. Choose one to report the supply details of that supplier only.
Currency:The currency codes found in the prices of the titles in scope. Choose one to report prices in that currency only.

The two filters are read from the titles in scope when the dialog opens, so they only offer values that exist in your data; leave them empty to include everything.

The report is generated in the language of the interface. Report models are configured on the server for your account: they cannot be created or modified in ONIXEDIT Cloud. Contact ONIXEDIT if you need a custom layout.

How to generate an error list

The error list complements title validation: instead of opening each invalid title, you get one file listing the errors of every title in scope.

  1. Choose the titles as for a report — for example run a search on invalid titles, or use the Invalid products filter of the validation score bar.
  2. Open Actions and choose Generate error list for selected products.
  3. Confirm the scope: "Do you want to generate error list for all selected products?", "Do you want to generate error list for all products from the current search?" or "There is currently no product selected. Do you want to generate error list for all products in this catalogue?". Click Yes.
  4. Download the file from the Generate error list task in the Notifications menu.

Unlike reports, an error list is not capped by the report title limit: it can cover a whole catalogue.

How to get the file

Click the Notifications button of the top bar. Each task shows its date and type (Generate report, Generate error list), a status icon — queued, in progress with a percentage, completed, error — and, once completed, the name of the file as a link. Click the link to download it. A failed task shows An unexpected error occurred with a More Details link that opens the Error Details dialog. Delete task removes the task and its file; Clear all tasks notifications removes every finished task.

Tips

Select rather than search for a precise report

A report started from a search or from the whole catalogue includes at most the number of titles stated in the confirmation message, set by your administrator. When the report must cover an exact set of titles, check them in the list — a selection is reported in full and the confirmation shows its count.

Filters depend on your selection

Supplier name: and Currency: are collected from the titles in scope when the dialog opens. If a value you expect is missing, close the dialog, adjust the selection or search, and open it again.

Frequently asked questions

Which reports can I generate?

The Choose report list of the Generate a report dialog shows the reports configured on the server for your catalogue. You cannot create or edit a report layout from ONIXEDIT Cloud; contact ONIXEDIT if you need another one.

How many titles can a report contain?

The confirmation message states the maximum number of titles included from a search or a catalogue; that number is set by your administrator. Select the titles you need if the report must cover a precise set.

What is the difference between OK and Preview?

Preview opens the report in a new browser tab so you can check it. OK creates a background task that produces the report file, which you download from the Notifications menu.

What is the error list?

A file that lists the validation errors of each title in scope, produced by the Generate error list for selected products action. Use it to fix invalid titles in bulk instead of opening them one by one.
