Searching titles
ONIXEDIT Cloud offers three ways to find titles, and they combine: the Fulltext search in products field for a quick search on words, Advanced Search for criteria on specific ONIX fields with operators, a query plan, saved searches and searches across catalogues, and the A-Z index to browse by first letter. Each one has its own clear button, and Clear all searches removes them all.
Where to find it
- The full-text field and the Advanced Search button are in the toolbar of the title list; A-Z (tooltip Index) shows the index under it. Below 960 px they sit in the Filter / Search / Actions panel.
- Searching needs no special right: everybody who can open the catalogue can search it.
- A search is kept while you open a title and come back, and cleared when you switch catalogue.
Screen overview

How to run a full-text search
- Type at least three characters in Fulltext search in products and press Enter or click the search button. Every word must be present in the metadata of the title, as a whole word.
- A Language selector appears next to the field. All, the default, searches with the rules of every language of the catalogue and merges the results; None searches without language rules; a language code restricts the search to that language's index.
- Click the pin (Pin current language of searches) to keep a language for this catalogue in this browser; click it again to unpin.
- Click the red cross in the field (Clear fulltext search) to remove the search.
How to build an advanced search
- Click Advanced Search. While a search is applied the button reads Advanced Search (Active), next to a red Clear Advanced Search cross.
- Click In field to open the Select ONIX tag dialog. Pick a field in Usual tags (identifiers, title, product form, authors, subjects, availability, dates, Fulltext, Locked, validation errors and status, custom fields…) or type in the filter box and double-click a tag of the tree.
- Choose the operator in With operator and enter the value in For value.
- Click + to add a criterion, - to remove one; the button between two rows toggles and / or.
- Tick Invert this search to get the titles that do not match.
- Click Search. Clear search empties the dialog and the list; Cancel closes it without change.
Operators
The operators offered depend on the type of the field.
| Operator | Available on | Value |
|---|---|---|
| Equals to, Not equal to | Every field | A value; coded fields offer an autocomplete of "code - label" |
| Is null, Is not null | Every field except booleans and error counts | None |
| Begins with, Does not begin with, Contains, Does not contain | Text fields | Text |
| In, Not In | Text fields and the title ID | One value per line |
| Greater than, Greater than or equals to, Less than, Less than or equals to | Numbers, dates, times | A number, a date (picker) or a time |
| Between | Date custom fields | From and To dates |
| Published within, Forthcoming within, Greater than today plus (days), Less than today minus (days) | Publication date | A number of days |
| Older than (in days) | Last modification date | A number of days |
| Is valid, Is invalid | Validation status | None |
| Contains only | Fulltext | Words, plus Language and Match mode |
Value editors
- Booleans (Locked) show a checkbox; coded fields an autocomplete; dates a picker (Date, or From / To for Between).
- In / Not In show For values (Enter one value per line); the icon at the right opens a larger editor.
- The Fulltext criterion adds Language (same choices as the toolbar) and Match mode: Exact — every word as typed — or Stemmed, which also matches word variants and sorts the list by relevance. A search holds one Fulltext criterion at most.
- The Saved search field nests one of your saved searches as a criterion.
How to restrict the search to one composite
Tick Restrict search to the same composite record and pick the composite (a contributor, a price…) in the tag selector. All criteria must then match inside the same occurrence — one contributor with both the name and the role, not two. Ticking, unticking or changing the composite clears the criteria after a confirmation.
How to edit the query plan
The Query plan shows how the criteria combine, for example ( ( 1 and 2 ) or 3 ), and is rebuilt when you add, remove or toggle rows. To write your own grouping, click Edit, change the parentheses and operators, then Save (or Cancel). An invalid plan — unbalanced parentheses, missing, duplicate or unknown criterion number — is explained under the field and keeps Save disabled.
How to save, load and copy a search
- Type a Search name and click Save; Item saved successfully. (or Item updated successfully.) confirms it. The language and match mode of a Fulltext criterion are not stored.
- Click Load to open the Load Search dialog: each row shows the Name, a Public icon for the searches provided by ONIXEDIT, a load button and a delete button (Are you sure you want to permanently delete this item ?).
- A public search cannot be changed: Save is replaced by Copy, which turns it into a new search of your own.
- Saved searches are listed per ONIX version, on every catalogue of that version.
How to search several catalogues at once
- In Search in catalogue(s), tick the other catalogues or *** Select all catalogues ***; the current catalogue is always included.
- Click Search. The Multiple catalogues search results dialog lists each catalogue with its number of matches; a + means the count stopped at the server's limit — click Get exact results count to count precisely.
- Click a catalogue to open it in a new tab with the search applied. Cancel closes the dialog and clears the search.
How to combine and clear searches
The full-text search, the advanced search, the A-Z index and the validation-score filter apply together. Each has its own red cross; the Clear all searches cross at the right of the toolbar removes them all. Any new search goes back to page 1, to the default sort and to All products.
Tips
Search by ID list
Choose the ID field with In and paste one identifier per line to retrieve a precise set of titles, for example the list produced by a report.
Pinned language
A pinned language applies to every full-text search of that catalogue in this browser until you unpin it. If results look incomplete, unpin it to return to All.
Frequently asked questions
Why does the full-text search find nothing with two letters?
The full-text search needs at least three characters. Use Advanced Search with "Begins with" or "Contains" on a specific field for shorter values.
Which language should I choose for the full-text search?
Leave "All". The server then searches with the rules of every language of the catalogue and merges the results. Pick one language only when you know the titles were indexed in it.
What is the difference between Exact and Stemmed?
Exact finds titles containing every word as typed. Stemmed also matches variants of the words (singular, plural, conjugations) and sorts the results by relevance. Stemmed is available in Advanced Search only.
Are my saved searches visible to my colleagues?
Saved searches are yours; the ones marked with the Public icon are provided by ONIXEDIT and can be copied, not edited. They are listed per ONIX version.
Can I search several catalogues at once?
Yes. In Advanced Search, pick the catalogues in "Search in catalogue(s)"; a dialog shows the number of matches per catalogue and opens each one in a new tab.
