Views (cloud lists)
A view (cloud list) is a named set of columns for the title list: which fields are shown, in which order, with which caption, whether they sort, how multiple values are displayed, plus an optional default search and default sort. The built-in Default view shows the cover, Ref, Title, ISBN13/EAN, Product Form, Authors and Subjects; you create as many views as you need for your own workflows.
Where to find it
- The View selector is the first control of the toolbar of the title list. It lists the Public group (the built-in Default view and the views provided by ONIXEDIT) and the Created by me group (your own views). Favourite views come first, marked with a heart.
- The last entry, Create new view list followed by the ONIX version of the catalogue in brackets, opens the view wizard. The pencil at the right of the selector (tooltip Edit current view settings) opens the wizard on the selected view; it only appears for a view of the Created by me group.
- Views are tied to the ONIX version, not to a catalogue: a view created on an ONIX 2.1 catalogue is available on every ONIX 2.1 catalogue you can open. No catalogue right is needed to create or use one, but a column bound to a custom field you may not see is silently dropped from the list.
Screen overview
The View list wizard dialog has four areas: the header with List name, the favourite heart and the Default list checkbox; the two column lists with the Add and Remove buttons between them; the Default search applied panel; and the Sort By / Sort Direction selectors. The buttons are Cancel, Delete this view and Save.
How to choose a view
- Open the View selector and pick a view; the list reloads with its columns, its default sort and its default search.
- ONIXEDIT Cloud remembers the view you chose for each catalogue during your session. When you open a catalogue with no remembered view, it selects your own view marked Default list, else the default public view, else Default.
- A view is greyed out while the server is still preparing its column data after a change (task Refresh list data for view in the Notifications menu); choose it again once the task is done.
How to create a view
- In the View selector, choose Create new view list.
- Type a List name (the wizard proposes "New list").
- Click the heart to mark the view as a favourite (tooltips Not in favorites, click to add to favorites / Marked as favorite, click to remove from favorites); favourites are listed first.
- Tick Default list to make this view the one selected automatically on the catalogues of this ONIX version.
- In the left list, tick the fields you want and click Add (tooltip Add selected columns). A field can be added once; it disappears from the left list.
- In the right list, use the arrows (Move up, Move down) to order the columns, or tick columns and click Remove (tooltip Remove selected columns).
- Click Save. The server builds the data of the new columns in the background; the view is usable when the task completes.
How to change a column's caption and behaviour
- In the right list of the wizard, click the gear of a column (tooltip Edit column settings).
- In the Column settings dialog, change the Caption shown in the header.
- Tick or untick Sortable. Sortable columns show a sort icon in the wizard and a clickable header in the list.
- Under If multiple values are found..., choose Show first value only or Show all values (separated by semi-colons) — for example the first contributor only, or all of them.
- Click OK, then Save the view.
How to attach a default search to a view
- Expand Default search applied (Define a search to be applied by default when using this list).
- Build the criteria exactly as in Advanced Search: click In field to pick the ONIX tag, choose With operator, enter For value, add rows with + and remove them with -. The button between two rows toggles and / or.
- Adjust the Query plan if needed (Edit, then Save or Cancel); it uses the same rules and validation as the Advanced Search dialog.
- Clear search empties the panel. Click Save on the wizard to keep the view.
Every time the view is selected, its search is applied to the list; the Advanced Search button then shows as active and can be cleared or refined like any other search.
How to set the default sort of a view
- At the bottom of the wizard, pick a column in Sort By and Ascending or Descending in Sort Direction.
- Click Save. The list opens sorted this way whenever the view is selected. Without a default sort, the view opens unsorted.
How to edit or delete a view
- Select the view, then click the pencil (Edit current view settings) next to the selector.
- Change anything in the wizard and click Save; or click Delete this view and confirm Do you really want to delete this view and all its settings?.
- Public views cannot be edited or deleted: create your own view instead.
Tips
Fewer columns, faster list
Each column of a view is pre-computed for every title of the catalogue. Keep views focused: a view with the five fields you check every day loads faster than one with thirty.
Searches reset the sort
Running a full-text or advanced search, picking a letter in the A-Z index or filtering on the validation score goes back to the default sort of the list, even in a view with its own Sort By. Click a header to sort the results again.
Frequently asked questions
Why does my view not appear on another catalogue?
Views belong to an ONIX version. A view created on an ONIX 2.1 catalogue is offered on every ONIX 2.1 catalogue, and never on an ONIX 3.0 one.
Why is a view greyed out in the selector?
The server is still preparing its column data after you created or changed it. Follow the task in the Notifications menu and choose the view once it is done.
Why can I not edit a view of the Public group?
Public views are provided by ONIXEDIT and are read-only. Create your own view with the columns you need.
Why did the sort of my view disappear after a search?
Every new search or filter goes back to the default sort of the list. Click a column header to sort the results again.
